Vacation Packages – Booking & Payment Policies

Deposit

  • A non-refundable reservation fee of USD $250 is required at the time of booking to confirm your reservation.
  • This reservation fee is mandatory for all bookings and is non-transferable.

Payment Options

Full Payment:

  • You may choose to pay the full balance at the time of booking.
  • Otherwise, the full package payment is due 60 days prior to the arrival date.

Scheduled Payment Plan:

  • A payment plan is available.
  • The full amount must be settled at least 60 days prior to the arrival date.

Activity & Accommodation Transfer Policy

  • BEE excursion activities within a package may be transferred to another date under special circumstances, subject to availability and management approval.
  • Accommodation bookings are subject to the policies of the hotel or accommodation provider.
  • In cases of changes or cancellations, the accommodation provider’s policies will apply and may override BEE’s standard refund policy if their refund terms are less flexible.
  • Full accommodation policy details will be provided at the time of booking, and guests are encouraged to review these carefully.

  • All quoted prices are in USD and are only guaranteed once full payment is received and the booking is confirmed.
  • Pricing may be updated or modified in line with service enhancements, seasonal variations, or external market factors.

Stand-Alone Activities – Booking & Refund Policies

(For individual Barbados Equestrian Experience activities booked outside of a package)

Booking & Payment

  • During high season (January–March), certain activities may be invoiced 30 days prior to the activity date—or at the time of booking if booked within 30 days—to guarantee availability.
  • During the rest of the year, a 10% deposit is required for each stand-alone activity.
  • Full payment is due 14 days prior to the activity date.

Cancellations by Barbados Equestrian Experience

  • If an activity is canceled or postponed due to weather or any issue on our end, we provide a full refund or can offer alternative dates/times.

Guest-Initiated Cancellations

  • More than 7 days before the activity:
    Refund issued minus 10% of the total activity fee.
  • Between 3 and 7 days before the activity:
    Refund issued minus 20% of the total activity fee.
  • 2 days or fewer before the activity:
    No refund.
  • Exception:
    With a valid medical certificate, a refund is issued minus 10% of the total activity fee.

Additional Information

  • Bookings made through hotels or tour operators may be subject to their own deposit, refund, and cancellation policies.
  • Refund and cancellation policies are subject to change and will be updated on the Barbados Equestrian Experience website accordingly.

Waiver must be signed ahead of all experiences with Barbados Equestrian Experience under Visionary Ventures LTD.



Proof of International Travel Medical Insurance coverage is required for those participating in any of the 'Equestrian Horse Riding Activities' arranged by the Barbados Equestrian Experience owing to potential dangers associated with horse sports.

There are several international travel insurance companies that offer coverage for adventure sports including horse back riding activities. 

The Barbados Equestrian Experience does highly recommends International Medical Insurance to ALL participants whether choosing Equestrian Horse Riding Activities or other.
Most of our tours and experiences are designed as half-day experiences, typically lasting approximately 3 to 4 hours. However, durations may vary slightly depending on the activity and location.

Please note that certain experiences—such as the Island Tour, Polo Afternoon, and Race Day Excursions—are longer and usually run for approximately 5 hours. 

Exact timing will be confirmed in your itinerary.
To ensure your safety and comfort, please follow the recommended dress code based on the type of activity:

      Lessons (Including Dressage or Flatwork)
  • Helmet: Wearing a helmet is mandatory and you must bring your own.
  • Clothing: Wear long riding pants and tops with shoulders covered.
  • Footwear: Closed-toe riding boots (short or tall boots)
  • Gloves: Optional, but may improve grip and comfort.
      Beach & Trail Rides
  • Helmet: Wearing a helmet is mandatory. Some operators will provide helmets but we recommend bringing your own
  • Clothing:
    • Long pants (to protect your legs from chafing)
    • Closed-toe footwear – trainers or water shoes are acceptable
    • We recommend shoulders covered (for sun protection and safety)
We recommend bringing sunscreen, water, and a change of clothes for beach rides if you plan to swim after the excursion.
Our general BEE package includes five curated equestrian activities, seven nights of recommended accommodation (with three carefully selected options to choose from), and all transportation throughout your stay. 

Seasonal Variations from approximately US$2500 per person (based on 1 room double occupancy).

Please note that accommodation costs vary by season:
Off-Season: April 21st to December 20th
Peak Season: 21st December to April.

Final accommodation pricing will be confirmed at the time of booking and will depend season of travel, chosen property and room type. If you have different preferences, we’re happy to recommend alternative accommodation options that suit your style and budget.

Yes, a non-refundable booking fee of $250 USD (per guest) is paid at time of booking for our packages with BEE and a 10% deposit fee for standalone experiences. This can be paid via bank wire transfer of via Fygaro.
Some activities are strictly for children aged 12 years and above. Children under 18 must be accompanied by a signing adult on all activities.

We will try our best to accomodate childrens' discounts with our suppliers where we can.
